Request for Proposal – Champlain Commemorations 2015 Committee Website Creation

Background


The Champlain Commemorations 2015 Committee is an organization which incorporates, but is not limited to four main partners. These partners include The Township of Tiny, Town of Penetanguishene, Town of Midland and the North Simcoe Community Futures Development Corporation. Working together as a collective whole, the Steering Committee is committed to the promotion of Huronia as a historically significant region in the creation of Canada. The committee is working towards the commemoration of Samuel de Champlain’s voyage and exploration of Huronia in 1615 through special events and legacy initiatives. 


The Champlain Commemorations 2015 Committee applied for and received an Ontario Trillium Grant for the purpose of strengthening regional tourism in Huronia by celebrating the 400th Anniversary of the arrival of Samuel de Champlain in the area. The grant is to support the committee in representing the three founding cultures (Aboriginal, French and English)in new and existing tourism events.
 

Proposal Invitation

The Champlain Commemorations 2015 Committee has initiated a Request for Proposal process to identify a vendor qualified to plan, execute and deliver the design of the Champlain Commemorations 2015 Website. The Champlain Commemorations 2015 Committee requires a vendor who has demonstrated experience in managing website projects and expertise with best practices regarding successful website design, development and deployment.
 

Objectives of this Project

The goal of this project is to design and implement the Champlain Commemorations 2015 website so that local residents, as well as, visitors to special events and our signature event can easily navigate content, increase interest in visitorship and make our events more visually appealing. As well, the site would need to integrate social media including Facebook, Twitter and QR Codes.
 

Content Management System must include:

  1. Online, login-from-anywhere administration
  2. Pages are easily administered, modified, re-categorized, etc.
  3. Event Calendars
  4. Photo galleries
  5. News Feeds or News Sections
  6. Create a fully functional, bilingual website
  7. Social Media Feeds and sharing functionality
  8.  Volunteers Section                                                       
This site would need to be targeted towards a broad audience including; press, potential vendors, investors, sponsors, as well as the general public.

Website Redesign: Request for Proposal (RFP)

Introduction 

The Homeless Alliance of Western New York (HAWNY) is a not-profit independent organization of over one hundred organizations working together to facilitate dialogue and strategic action to end homelessness and promote public policies that address the needs of persons experiencing homelessness and low-income population. 

Project Background 

HAWNY website address is www.wnyhomeless.org . The website was created for the purpose of providing a free information resource that is addressing issues related to poverty and homelessness in our community. 

What prompted the redesign of the website? 

  • The site in general is dated and difficult to navigate. 
  • We are using WordPress to manage the web page but it’s not easy to navigate the changes. 
  • We want the site to better describe what we do as a Continuum of Care. 
  • Need to consolidate the BAS-NET page which is currently set as a Word Press file. 
  • The Poverty Challenge page needs more visual impact 
  • The site should list our partners and those that receive funding 
  • Links to homeless and poverty data such as our annual reports, local and national research papers from our partners is not easy to find. 
  • We need a human services information page that is easily accessible to the public that will link people and providers to programs and services or 211. 
  • The site does not have a readily accessible contact form. 
  • Links do not open in a different tab.
  • We can’t upload files larger than 2 MB and this limits our research page. We are currently linking files to Sky Drive. 
  • Need page for both staff and board members. 
  • The email boxes are currently limited. We need about 7-10 email boxes with a minimum capacity of 250MB each. 
  • Not easy for people to find minutes and agendas of our monthly meetings. 

Project Goals

2. To make the website more visually appealing, but very easy to navigate

4. To have a user friendly web creator 
5. Expand our membership user and research base

Web Hosting 
We are currently using Blue Domino for web/email hosting but are open to changing. 

 Copy 

The Homeless Alliance will write the copy for the redesigned site with the assistance from the vendor. 

Content Management and Ownership 

The content of the website will be managed in-house by non-technical staff. The staff will be required to undergo some basic training on how to do updates. The Homeless Alliance will own all content and design. 

Required Elements  

  1. A dynamic donation page 
  2. A real blog with approved users 
  3. Social media integration 
  4. Internal search for services, documents 
  5. A calendar of events page 
  6. Unlimited or larger capacity web space and email 

ADA Compliance 

The website should be compliant with the requirements of the Americans with Disabilities Act. 

Traffic Reporting 

Google analytics currently installed but are open to suggestions as to the improvement of traffic reporting. 

Proposal Instructions 

As part of your proposal, please address the following: 

1. Project Budget. The budget should also include hourly cost for maintenance if needed, troubleshooting and training of staff on how to do website updates. 
2. Your approach to website design. 
3. Details regarding your website management process. 
4. A summary of website development experience. 
5. A listing of existing client references. 
6. A time frame for completion of the work. 
7. Contact information.

Project Summary

RBWN currently has a website, designed and built in 2007, at http://www.rbwn.org. We
are in need of a new site that incorporates new architecture, design, a responsive design
viewable on all devices, with a password protected member section and password
protected admin section where all organizational information and member database is
kept.

Organization Information

About RBWN (Rockland Business Women’s Network) RBWN is a nonprofit organization dedicated to women empowering women through networking and education. The RBWN originated in 1979.

The Rockland Business Women’s Network (RBWN) supports and empowers women by providing networking and educational opportunities. This non-profit organization focuses on leadership and professional development, building personal and professional relationships, and community support through scholarships and training. RBWN is dedicated to women helping women.

Audience

Types of Visitors

We are targeting the following types of visitors to our website:

• Current RBWN members
• Prospective members
• Similar organizations in the Tri-State area

Generally speaking, visitors to our site are not the most technically savvy users (i.e.,
nonprofit and foundation staff members, government officials, etc), so we want to make
sure we’re not overwhelming people with technical “bells and whistles.”

Site Statistics

We are using Google Analytics to track all of our sites information. We hope to increase
our visibility and visitors with our new site. Detailed data can be provided upon request.
We haven't yet defined all our metrics for success for this project, but we hope to do this
in collaboration with our vendor.

Site Structure and Content

Our existing site has some content that we would like to reuse, provided it's still useful
after the redesign process.

The organization of information will need to be restructured in order to make it easy to use for all target audiences. We are open to categorizing information in whatever way makes sense to the site visitor, and are looking for guidance on this issue from our developer. Once we have developed the new site architecture, we will tag content appropriately to appear in as many contexts as needed.

We list here the major categories of content that we know we will want to include in the new site. Again, this will require a detailed discovery phase where we collectively decide what content we want on the site, and how we want to organize it.

RBWN: Background information.
  • Our vision for the future: as stated in our mission statement. Social innovation, spreading what works, directing resources based on demonstrated social impact
  • Background: We have one part time staff member, our Administrative Assistant. All other work is done on a volunteer basis by our membership.
  • Opportunities to engage: An interactive platform that invites people to participate in conversations started on the site’s blog and on additional pages for our initiatives, comment on resources made available on the site or suggest new ones to include, learn about upcoming events, find opportunities to support our social innovators, etc.
  • Services and Resources for our members, prospective members and the general public.

Graphic Design

We have existing logos for RBWN and some of our initiatives, as well as a color palette that serves the entire organization. We don't have an in-house graphic designer, however we do have source files (EPS, etc.) for most logos and images which we can repurpose or redesign as needed.

High Level Functionality

This is not a comprehensive list of all functionality that the site will have, but it gives a representative idea of the types of things we are looking to do.
  1. We would like to have downloads for PDFs, images, audio, and embeddable video with YouTube, and Flickr slideshows
  2. We would like to have podcasts, podcast archives, and RSS feeds for these
  3. We would like to use Google Custom Search.
  4. Three areas of our site, the member services section and member database, organization minutes/by-laws will require password protection for some of the documents and pages available there.
  5. Site Administration, user levels: Admin, Content Editor, Authenticated Users, others as needed. 

Design/Look and Feel

We will have some basic design standards as a result of our brand engagement and will
want the Web designer’s help with translating our brand and look and feel into the site.

Budget

Our total budget for this project is $5,000. We have hosting; maintenance is not included
in the budgeted amount. Vendor may submit an additional proposal for annual
maintenance.

Vendor Selection Criteria

When selecting a vendor for this project, we will be evaluating candidates on the following criteria:
  • Experience with creating sites that build communities and have interactive features (blogs, discussion forums, etc.).
  • Experience working with nonprofit organizations
  • Solid information architecture skills for organizing content in ways that are intuitive to the site visitor 
  • Vendor takes a holistic approach to an organization’s web presence (e.g., insight into integrating social media platforms, campaign tracking mechanisms, etc.)

Proposed Timeline

We would like to begin this project in September, 2013. We do not have a specific deadline for completion, but we would like it to take no longer than 6 months for design and development. We recognize that loading content can be a time-consuming process, and would not count that against the schedule.

1. BACKGROUND 

The California Resource Recovery Association (CRRA, founded in 1974) is California’s statewide recycling association. It is the oldest and one of the largest non-profit recycling organizations in the United States. A 501(C)3 organization, CRRA is dedicated to achieving environmental sustainability in and beyond California through Zero Waste strategies including product stewardship, waste prevention, reuse, recycling and composting. CRRA provides its members with resources to advance local, regional and state wide waste reduction efforts which result in critical environmental and climate protection outcomes. CRRA’s members represent all aspects of California’sreduce-reuse-recycle-compost economy. Our members work for cities, counties, municipal districts, and businesses as well as hauling companies, material processors, non-profit organizations, state agencies, and allied professionals.

2. INTRODUCTION

The current website at www.CRRA.com was launched in 2010 and updated to reflect the new logo and colors of CRRA in 2012. While it met the needs of the Organization at the time it was developed, over time, however, its CMS has become outdated and a second site, www.CRRA.us was launched in 2012 to meet and manage its membership and conference registration needs.

The CRRA.com site is the main site, using Joomla 1.5x as its CMS. The CRRA.us site is through Wild Apricot, replicating the look and feel of the CRRA.com site. Due to its outdated CMS, the CRRA.com site’s security has become vulnerable and the site has been previously hacked.

The intent of the website RFP is to integrate the two sites into one, CRRA.com, with a CMS and an online Membership System that is easy to manage, maintain and update, and is secure.

The redesigned website must include the following features:

• Easy and intuitive navigation
• Quick to load and operate
• Ability to create and reorganize pages
• Secure areas
• Intuitive content management system
• Ability to self-edit
• Homepage slide show
• Social media integration
• Integration between site and online membership system2
• Integration between site and email newsletters in design and content
• Integration/aggregation of statistics across all platforms (website, social media, email 
newsletters)
• Dynamic/adaptive display of main site for variety of devices

In addition, CRRA would like a homepage that allows for showcasing new items in a manner that is visually appealing and draws attention quickly. The redesigned site must also allow CRRA staff to easily update content without directly accessing source code.

Submissions must be in the PDF format and may be delivered via e-mail to the RFP coordinator. All questions should be directed to the RFP coordinator. All submissions received after the due date will not be considered. Futurewise may request an interview with vendors with the highest rating.

For ease of reference, each firm receiving this RFP is referred to as a “firm” and the firm selected to provide services for Futurewise is referred to as the “selected firm.” This RFP states the instructions for submitting proposals, the procedure and criteria by which a firm may be selected.


III. Project Overview

Futurewise seeks an experienced firm to redesign www.futurewise.org and implement technologies to meet the objectives outlined in this document. This will be a concept to completion production, from scoping to information architecture, design, development, and deployment.


The audience of Futurewise’s website includes three distinct categories: (1) lifestyle urbanists and environmentalists, (2) smart growth activists, and (3) public officials, planning and design professionals. In addition to educating and mobilizing each of our audiences, Futurewise views each audience as a prospective member and donor. An additional important audience is foundations, corporations and major donors.

Oregon Strawberry Commission - Request for Proposals Website Redesign

The Oregon Strawberry Commission (OSC) is soliciting responses to its request for a proposal (RFP) to provide website redesign services.

OSC’s intent for this RFP is to award a Personal Services Contract.
 

I. OSC Background

The OSC is a commodity commission created in 1967 under ORS 576 and representing 90
producers in the state of Oregon. The OSC is funded by grower dollars and is administered by a board comprised of five growers, one handler, and a public member. State law authorizes the commission to fund commodity promotion and marketing (not branded), education, and research activities related to the commodity.


As an Oregon Commodity Commission, the OSC collects an assessment from strawberry
producers. Commodity Commissions are state agencies and the Oregon Department of Agriculture (ODA) conducts oversight of the commissions. All contracts are reviewed by the ODA and, depending on the amount of the contract, the Oregon Department of Justice (DOJ). Commodity Commissions are audited and budgets are established each year in a public hearing process.


Commodity Commissions follow Oregon’s public meeting and record laws.


The Oregon strawberry industry is comprised of approximately 90 growers and 10 handlers who produce strawberries on 1,900 of acres in the Willamette Valley. The majority of Oregon strawberries are sold as processed berries.
